Manage Search Schema Of Search Administration At The SharePoint Admin Center On Office 365

Welcome to an article on how to configure Search Schema of Search Administration at the SharePoint Admin Center on Office 365. Here in this article, we will see our options available to Search at the SharePoint Admin Center.

Here we will create and modify search properties so that users can query these properties which will assist them while having search.

To configure you need to be a tenant admin. If you are, let’s see how we can do it,

  • Click on the left corner of your SharePoint site to view the apps.

  • Click on Admin.

  • You will come to the “SharePoint admin center”.

  • Select search on the left navigation. You will come here.

  • Click on ‘Manage Search Schema’.
  • You will be directed to the screen below where you can create and modify the search properties.
  • Let’s see how.

    The section has been divided into three,

    a.Managed Property
    b.Crawled Properties
    c.Categories

    Let’s see them here in this article.

  • Managed Property:

    Property

    Under this section you can see, we have a filter to sort our Managed properties. Then we have an option to Create New Managed Property and you can see them all in the view below.

  • Let’s see how to create a New Managed Property, click on the link and you will see the configuration form below.

  • Name and Description: - Provide a name and description to your new metadata property.

  • Type: - Choose a type of the property whether it should be Text, Integer, Decimal, Date and Time, Yes/No field/Double precision float or a Binary.

  • Searchable: - You can choose how your metadata field iwl lbe searchable. If you enables it, it will be part of the query to search the results based on your metadata.

  • Advance Searchable Settings: -

    This configuration assists you to configure the full text index and weight group while doing the search query on the property.

  • Queryable: - If you enable it, it will be part of the query to search the results based on your metadata so you can choose if your metadata should be queryable.

  • Retrievable: - If you enable it, it will be part of the query and will retrieve the value on search results.

  • Allow multiple values: - If you choose this option, it will allow displaying multiple values of the metadata in the search results.

  • Refinable: - You can refine your search query to prevent irrelevant search crawling.

  • Sortable: - You can sort your search results for larger views by enabling it here.

  • Safe for Anonymous: - You can enable this property if you want to query based on the search of anonymous users.

  • Alias: - You can define alias as a small or easy name to be used for querying for the name of the metadata field.

  • Token Normalization:- You can enable this option so that the search result is independent of the letter case and other special characters.

  • Complete Matching :- If you want to receive exact results, you can enable this option and the search results exactly matching your query will be shown.

  • Mappings to crawled properties: -

    Here you can map your property to be included in the content of the crawled property or you can define them if the property is empty.

  • Company name extraction:

    Here you can define whether the crawling should extract the company name while fetching the search results.

  • Custom entity extraction:-

    If you have custom metadata values, you can extract them while crawling for this metadata and get the results when the crawling is done.

    You can define n number of metadata values to be searched.

    Crawled Properties:

    Here you can view the managed property and modify the crawling properties of the search schema.

    You can also filter them for huge amount of metadata values based on the category.

    Here you see a database of the number of managed properties based on categories.

    This feature is a very important part of the search schema which makes you have your search crawls happen the way you desire. Search on the go with this property.
