How to Sync Tasks From Project Plan to SharePoint 2013 Tasks List

In this article we will see how a project plan can be synchronised with a SharePoint 2013 Tasks List. The need to do so is that the team members can then use the project plan collaboratively and update the task status through the web browser. More on this later.

Step 1: Let's say your plan is ready in Project Professional 2013 as shown below. This is one of the sample plans available from Microsoft Online.

Step 2: Click on "File" -> "Save As" and choose "Sync with SharePoint". You can choose an existing SharePoint Site or decide to create a new SharePoint Site.  Once the site is verified and the user is authenticated you can choose the Task List.

Step 3: Choose the Task List for synchronization.

Step 4: You may receive warnings on the resources if the resources in your project plan are not part of the active directory users.

Step 5: We will ignore it for now. Click "OK". You will see that the Project Summary is updated as below in the SharePoint 2013 site.

Step 6: We will now see the Task List. Tasks from the plan are synchronised here. Note that the "Assigned To" column is blank because we do not have the resources as users in SharePoint.

Step 7:  You can now edit the task and assign another user.

Step 8: You can select "Add To Timeline" and the task for the Project Timeline. You can create SubTasks.

Step 9:  You can view tasks in multiple ways; one of the OoB views is Calendar as shown below.

Step 10: There are other built-in views as shown below.

Step 11: You can create your own views also. For example: View by Task Status.

Step 12:  Now to Synchronize back to Project Pro 2013. Click on "Open with Project" as shown below:

You will see the synchronization happening as shown below.

As highlighted below the assigned user updated in the plan of the Project Plan version of the file.

Step 13: Go to "Site Settings" -> "Site Assets". The file is saved in the SharePoint content database also as shown below.

I hope this helps. More details next time.
